User Roles & Permissions

Understanding who's PIC—learn how user roles control access to your aircraft.

Permission Levels

Logbook uses three permission levels to control who can view and edit aircraft data. Think of them like crew positions—everyone has a role.

Read-Only Access

Users with read-only access can:

  • View aircraft details and specifications
  • View maintenance logs and flight history
  • View inspections and AD compliance status
  • View conversations and messages
  • Export and print records

Users with read-only access cannot:

  • Create or edit maintenance entries
  • Log flights or update hours
  • Modify aircraft settings
  • Add or remove team members
Perfect for: Students, renters, or anyone who needs to check airworthiness before a flight but shouldn't modify records.

Standard Access

Users with standard access can:

  • Everything a read-only user can do, plus:
  • Create and edit maintenance entries
  • Add digital signatures to maintenance logs
  • Log flights and update component hours
  • Upload photos and documents
  • Create and participate in conversations
  • Track oil and manage routine maintenance

Users with standard access cannot:

  • Change aircraft specifications (tail number, serial, etc.)
  • Add or remove team members
  • Delete the aircraft
  • Change other users' permissions
Perfect for: Co-owners, mechanics, instructors, or anyone actively maintaining and flying the aircraft.

Admin Access

Users with admin access have full control:

  • Everything a standard user can do, plus:
  • Modify aircraft specifications and settings
  • Add and remove team members
  • Change user permissions
  • Configure powerplants and propellers
  • Archive or delete the aircraft
  • Manage subscriptions and billing (for aircraft owner)
Important: Only grant admin access to trusted co-owners. Admins have full control over the aircraft and its records.

Aircraft Owner

The person who registers an aircraft is automatically the owner with admin access. The owner can:

  • Transfer ownership to another user
  • Delete the aircraft permanently
  • Access billing and subscription settings

There can be multiple admins, but only one owner.

How Permissions Work

Per-Aircraft Permissions

Permissions are set individually for each aircraft. A user might be an admin on one aircraft and read-only on another.

Changing Permissions

If you're an admin, you can change a user's permission level:

  1. Open the aircraft details
  2. Tap Groups or Team
  3. Find the user you want to modify
  4. Tap their current permission level
  5. Select the new permission level
  6. Tap Save
Note: Permission changes take effect immediately. The user will see updated access the next time they refresh.

Removing Users

Admins can remove users from an aircraft:

  1. Go to Groups or Team
  2. Find the user
  3. Tap Remove or the trash icon
  4. Confirm removal

Removed users lose all access to the aircraft, but their previous contributions (maintenance entries, signatures) remain in the logs.

Conversations & Messaging

All permission levels can participate in conversations about an aircraft. This ensures everyone—from students to mechanics—can communicate about squawks and maintenance needs.

Best Practices

For Flight Schools

  • Students: Read-only access to check airworthiness before flights
  • Instructors: Standard access to log flights and document squawks
  • Mechanics: Standard access to create maintenance entries
  • Chief Pilot: Admin access to manage the fleet and team

For Co-Owners

  • Both co-owners should have admin access for full control
  • Grant standard access to your mechanic
  • Give read-only access to renters or occasional pilots

For Mechanics

  • Request standard access to sign off on maintenance
  • You don't need admin access unless you're managing the aircraft for the owner

Common Questions

Can I have different roles on different aircraft?

Yes. You might be an owner (admin) of your Cessna 172, have standard access to a friend's Piper, and read-only access to your flight school's aircraft.

What if I need to change who owns the aircraft?

Contact support at support@project1903.com to transfer ownership. This is useful when selling an aircraft or transferring management responsibilities.

Can I see who has access to my aircraft?

Yes. Go to the aircraft details and tap Groups or Team to see all users and their permission levels.
